Terms and Conditions

Effective from September 9, 2025

1. General
The term “Chess Gaja,” “we,” or “us” refers to Chess Gaja Academy, a Private Limited company incorporated in Madurai, Tamil Nadu. The term “you” refers to the student, parent, or guardian enrolling in our services.
Chess Gaja reserves the right of admission. Enrollment is open to children and adults regardless of gender, religion, region, or chess expertise.


2. Enrollment

  • Enrollment is with Chess Gaja Academy as an institution, not with individual coaches. Fees are paid to the institution, and not tied to specific coaches. We reserve the right to change or substitute coaches in the best interest of student progress.
  • Private Classes:
    • Scheduling is flexible and managed only through Chess Gaja’s official Learning Management System (Wise.Live LMS).
    • Rescheduling is subject to coach availability and package validity as outlined in the Cancellation & Refund Policy.
  • Group Classes:
    • Group classes operate on a fixed schedule with limited seats.
    • If a batch is full, your name will be placed on a waitlist, and you will be notified when a suitable batch becomes available.
    • Enrollment is confirmed only after full payment of applicable fees.
    • Missed group sessions cannot be rescheduled or refunded. Fees for missed sessions are forfeited.
    • A substitute instructor may be provided to ensure class continuity in case of coach unavailability.


3. Courses, Packages & LMS Access

  • Private class packages are valid for a fixed duration (e.g., 15-class package = 6 months).
  • Unused sessions will automatically expire after the validity period and cannot be carried forward.
  • Package extensions are not guaranteed and may only be considered under exceptional circumstances (such as coach unavailability, declared holidays, or technical disruptions caused by Chess Gaja).
  • LMS access is provided for scheduling, materials, and communication. Access is limited to one registered contact (email or phone), confirmed at enrollment. Any change requires Chess Gaja’s approval.


4. Communication & Student Responsibilities

  • Communication outside live sessions must take place only via the LMS chat system or Chess Gaja’s official communication channels. Tutors are not to be contacted directly through personal WhatsApp, email, or phone.
  • Students must log in on time; sessions will not extend beyond the scheduled duration.
  • For online classes, students must ensure:
    • Quiet, distraction-free learning environment
    • Camera switched on during class
    • Respectful classroom behavior
  • Repeated disruptive or uncooperative conduct may result in suspension or termination of enrollment.


5. Intellectual Property

  • All teaching materials, lesson recordings, and resources provided are the exclusive property of Chess Gaja. Copying, recording, redistributing, or reusing them in any form—whether for personal or public use—is strictly prohibited without written consent.
  • Games, photographs, and class recordings may be used by Chess Gaja for training, research, or promotional purposes.
  • Student achievements may be publicized by Chess Gaja unless a written opt-out request is submitted.


6. Liability Disclaimer

  • Chess Gaja shall not be liable for any indirect, consequential, or incidental damages (including loss of data or profits) arising out of participation in classes, tournaments, or use of our platforms.
  • Chess Gaja does not guarantee specific rating improvements, tournament placements, or performance results.


7. Grievance Redressal

  • Any concerns regarding classes, conduct, or services may be raised through Chess Gaja’s official email or WhatsApp Business number.
  • Grievances will be acknowledged within 48 hours and resolved as promptly as possible.


8. Amendments
We reserve the right to amend these Terms & Conditions at any time without prior notice. The updated version will always be available on our official website.
